The Chesapeake Bay Outward Bound School (CBOBS) is a non-profit adventure-based educational organization with programs that deliver character development and self-discovery in the wilderness, in the city, and in school. CBOBS operates programs in Baltimore City, the Appalachian Trail in MD and PA, the Potomac River, the Dolly Sods Wilderness Area in WV, and the Eastern Shore of the Chesapeake Bay.

Job Overview & Objectives

The Program Support Coordinator provides direct support to the CBOBS Program & Safety Director, Program Delivery Team and Admissions Team in various capacities, including but not limited to staffing, student services, data entry, post-course product management (student evaluations, sponsor letters, report cards), and maintenance of course and training documents. The Program Support Coordinator is responsible for scheduling all field staff members, supporting coordination of staff development, advancement, and recognition opportunities. This position reports to the Program and Safety Director, and works closely with the People & Culture Coordinator, Program Managers, and counterparts from schools across the OBUSA network.

Duties & Responsibilities

Program Team Support

  • Serve as the initial contact for Program Department.
  • Run weekly reports in preparation for program meetings
  • Maintaining paperwork and projects the support the overall operations of the Department
  • Coordinating meetings, reports, and project plans for the department.
  • Compile and distribute program department communications, including weekly/monthly updates, training schedules, and announcements.
  • Assist Program Managers with pre- and post-course products such as rosters, attendance, program days, incident and course report, student evaluations, sponsor letters, and report cards.
  • Work with Program Managers to ensure student data is accurately recorded pre- and post-course

Staffing and Scheduling

  • Responsible for scheduling field staff on appropriate programs supporting the highest program quality while also accomplishing individual training and development goals.
  • In coordination with the People & Culture Coordinator and Program Managers, help in the process of hiring and onboarding both new and existing/returning field staff.
  • Work closely with the People & Culture Coordinator on field staff recruitment initiatives.
  • Work with Program Team members to coordinate and schedule staff development, training, and certification opportunities that support team and individual development goals such as check-ins, performance reviews, and coaching sessions.
  • In cooperation with the People & Culture Coordinator, manage field staff personnel files confirming all staff paperwork, trainings, and certifications up to date.
  • Comply with all local and national Outward Bound staffing standards.
  • Oversee field staff work schedules including, time-keeping, timesheet/payroll reporting, and leave requests.
  • Oversee department calendar ensuring program capacities, courses, and staff schedules meet departmental needs and sales goals.
  • Represent CBOBS on assigned OBUSA National group calls.

Student Services Support

  • Assist admissions as needed with student screening, parent and school partner communications.
  • If qualified, support overall program operations as a Field Instructor, Course Director, Program Site Manager, On-Call Operator, Trainer, and/or other program support position as needed.

Safety and Risk Management

  • Participate in Critical Incident response and in safety training and incident reporting.
  • Participate in CBOBS on-call rotation (level of on-call will be based on experience).
  • Continually monitor and assess hazards.
  • Ensure adherence to all local operating procedures, safety policies and emergency procedures outlined in the staff handbook and field staff manual.
  • Report safety concerns and all yellow and red incidents to Program and Safety Director.

  • Good interpersonal skills.
  • Detail-oriented with strong organizational and analytical skills.
  • Proficiency Microsoft Office, with interest and aptitude to learn new software and systems
  • Strong personal motivation, initiative, follow through, flexibility and commitment.
  • Knowledge of Outward Bound history, mission, pedagogy, and philosophy.
  • Must have all vaccines recommended by the CDC, including a COVID 19 vaccine.
  • Must successfully pass a State of Maryland and an FBI Criminal Background Check and a driving record check.

Physical Requirements

  • Ability to sit at a desk or computer 90% of the time or greater.
  • Ability to carry weights up to 60 pounds.

Education & Work Experience

  • Bachelor’s degree plus 2 to 3 years of experience in the outdoor education/experiential learning field or a similar combination of education and experience.

This is a 12-month, full-time position.  Applicants should expect occasional evening and weekend hours.  Applicant must have a clean driving record.

Compensation and Benefits

Salary Range: $34,400-43,000; commensurate with experience.
